email funtionality
« on: May 14, 2011, 02:13:51 PM »
Hi Ron,
When we want to email a net 30 customer's particular invoice the software automatically loads in their email address we have set up on their account and it works beautifully. Unfortunately, it doesnt work when we want to email a net 30 customers balance.  When we look up a customers balance there are options along the bottom such as "print" "email" etc. When we choose email, it does not get that particular customers email address, it simply just uses the email address that was last used by the system. This is VERY problematic. We are trying to go "green" and certainly would expect this function to work. Can you please fix this.

Are you sure?  It's the same window.  The report window with the email button is the same for the different reports.

Ron, when emailing an individual invoice, you will be in the sales screen, and than go to tools, and select email this invoice. That part works fine and will use the email that is on file for that net 30 account invoice. The problem comes when you are in the reports screen, and select customer balance, along the bottom it gives options to COPY, PRINT, EMAIL, etc. When selecting email it DOES NOT use the email address on file for that account that we are looking up the customer balance. It simply uses the last email address the software has used.

For reports the email button will open a window for you to enter the email address.

yes, i do know that. I know we can simply type in an email address when we look at each individual customer balance report. But wouldnt it be nice if you looked up XYZ customer balance and wanted to email them their balance due and it would automatically get XYZ email address that was set up in their customer profile. It is very cumbersome to have to look up XYZ customer balance, than go to XYZ customer profile, copy the customers email, than paste it in the email area of the report form, than hit send. With 100's of accounts this doesnt become realistic. You should simply be able to look up a customers balance report and hit email and have the system insert their email automatically.

Yes, that would be nice.  The report window is generic for all reports and doesn't know that particular report is for one customer.  I will see what can be done.

Thanks Ron. I do understand what your saying and it works beautifully when in the sales screen and you want to email just the invoice. Put it on the wish list! Thanks for everything.
