Here is when I click on the *not paid* sales at 6:14 pm, this is what the screen looks like.  Notice I can simply "CLEAR SALE" but yet I 100% know that whatever happened during this transaction has deducted 1 item from inventory.  I had +1 in the morning, this transaction took it to zero and then the real sale after 10pm took it to -1.

To help diagnose this issue I keep having, what do you want me to do/try.  I also can take screenshots to better help show the issue.  I am going to review the camera footage right now to make sure it was a legitimate ring-up at 6:14 and perhaps the customer at the last minute did not want them, but clearly the sale is not finished, it is marked *not paid* even, but yet it did remove it from inventory.  I had a count of plus 1 and this morning it showed -1.

Thanks for helping me diagnose this.  I am scared if an employee learns how to do this trick they can start stealing merchandise and I would probably never find out and some of these glasses are hundreds of dollars each.  Thanks

If you'll remember correctly I made a topic stating that a sales associate figured out a way to remove an item from inventory without ever finishing the sale.  Well it has happened again, but this time I have not cleared it.  I did an inventory count yesterday morning and our count for Oakley's was perfect, then at closing my Manager did another count and we had 1 more in the cases than the system said we should have, so we were plus one.  The scary thing with that is an employee could simply steal it and I would never know.

So today, I quickly was able to find out by going to product control and searching quantity that our "Oakley Frogskin: White w/ Ruby Lens" was -1 (negative one).  I go into sales control and I see that at 10:39 PM she actually sells a "Oakley Frogskin: White w/ Ruby Lens" and completes the sale, but at 6:14 pm the system shows that she rings up a customer for the same pair, "Oakley Frogskin: White w/ Ruby Lens" but never finishes the sale.  Unlike a finished sale that shows the majority of the touchable boxes grayed out (so you have to enter a password to edit or void the sale) this earlier attempt at 6:14pm has none of the boxes grayed out.  They are still all clickable and in color.  I can simply hit the "CLEAR SALE" button and it would all go away.

Ronald would know for sure, but unless you are just adjusting your current inventory it wouldn't zero out your current inventory if you do not "scan it."  You would just be adjusting your current levels.

You can reset all qty.'s to zero by going to the Product Control Window, hit Enter to show all items then put a "0" in the top right box for "Change All" then go to "Change" and select "Fill All Listed Qty. With Change All" and it will reset all qty to zero.  Then manually go through your inventory starting from scratch.  Good thing is your item #'s and UPC/barcodes of course won't be affected so you can simply use the Adjust Stock Window to fly right through adding them.

I own a sunglass store with thousands of sunglasses.  What I do is every single day we do a "total count" of just the qty. and compare it to what the computer says.  So for instance I go to Reports and go to "Inventory" > "Stock Status by Supplier" and there it will show me that I am supposed to have 141 Ray Bans, 250 Oakley's, etc.  From there I count how many Ray Bans I have, how many Oakley's I have.  If the number is off then I would have to individually find out where the problem is.  But doing this simple "number count" without paying attention to actual SKU's makes it easy and takes just 10 minutes, plus the employees know we are doing a count every day, hence being a good reason for them not to steal.

As to the message that I got that said something like "items for this sale have already been printed, clearing the sale will make a log in the Managers Window" I got the same message when I scanned a bunch of items into inventory, then I printed a quote.  I then went back into Sales Control, opened the  sale and cleared it.  I then got that message.  However, unlike the incident I had prior this was not the method used to also remove it from inventory.  But at least I did find out perhaps how to create that message.  It's clearing an Open sale after a quote for it has been printed.

As to the item removing from inventory I haven't stumbled across that yet however I haven't had any time to research it yet either.  Waiting for the Summer to slow down.  Thanks and just keeping you updated on any info regarding this to prevent any loopholes.

That is what I have been doing in the meantime.  For me though, everyday is like a sprint.  I'm normally here 10 hours a day running the whole day.  Most days I never get to sit down for even a minute or eat lunch and don't eat dinner til I get home at 8pm.  So many days I forget to check, sometimes a week goes by.  But yes, Activity Log is what I have been doing.  In the morning, I will come in and check the night deposit and look over the closing Z report to see total sales, credit card/cash sales and look for any Pay Outs.  If I could see Returns then I would know to immediately go and check the system.  I think many other retailers would like this option as well.  Employees can be very sneaky unfortunately.

WOOHOO!  Possibly you could shoot me an update if you ever add it?  *wink*wink*

But yes, it would be VERY beneficial, would save a LOT of trying to remember to track down if any returns were done.  plus it's a good scare tactic to tell employees all returns are logged and will show up on the end of night Z report.

The only thing I have noticed from day 1 that I would have added would be something on the Z out showing returns.  Very similar to how it shows "pay-out."  I don't know if any returns were done unless I go back and check.  If it is at all possible to either have the # of returns done in a day (similar to "Drawer Opened" count") or even just a returns total.  I know that would be very beneficial to anyone in retail.  Because if an employee makes a return on a $10 item I don't know by looking at the Z Out.  If I could glance at it and see Returns I could then check on what was returned.  I look at it every morning to see if anyone used "Pay-out".  This would also save paper so other reports dont have to be printed out.  It could just say:

Returns: $436.50 (dollar amount)

-or-

 Returns: 2 (quantity of returns that day)

If it is at all possible it would be a HUGE benefit as I said to anyone in retail.  Thanks for hearing me out and any consideration.

Hmmm, I wish I did a little more investigating before I hit the "clear sale" button.  But I do remember it saying something about "items for this sale have already been printed.  Message logged in Managers Window"  I know that is far off from the exact terminology but it was to that effect for sure, first part saying "something has been printed" and second part dealing with my actions being "logged in Managers (Window?)."  And now of course since I cleared it I could no longer go back.  But we do inventory counts every night and the night before it was dead on and the next day it was 1 short.  We found the pair in our cabinets and when we scanned the tag it said we had zero, although yesterday it was accounted for.  It's as if the sale was partially finished enough to remove it from inventory but not enough to fully finish the sale.  I'm stumped.

I'll try to replicate it today.  Not sure what they must have done.  I wish I could go back into the activity log and find it but it has been a few days and I can't remember the time even.  I'll let ya know if I can replicate it or come up with anything.  Thanks Ronald. =)

Hello, not sure if something here will ring a bell with you at all but I came across something.  In doing an inventory count, we had 120 Ray Ban sunglasses in stock.  Our inventory level in the POS system showed 119 pair in stock.  So, I went back into the Sales Control and found the pair we had but our inventory system said there were 0 of.  I noticed yesterday that an employee rang up that exact pair of Ray Bans but didn't seem to finish the sale.  He did something where it took them out of inventory but the sale was never fully finished.  When a sale is finished and I go to review it all the buttons to the left are grayed out and I would have to EDIT the sale in order to do anything to it.  With this sale, the buttons were not grayed out, they looked normal.  So, I hit "Clear Sale" (not void) and it gave me a pop-up saying something similar to "something for this sale has already been printed, clearing the sale will make a log in the Managers Window."  Not exactly that, but very similar.  So do you know what that employee did?  I can't seem to replicate it.  It's as if he rang them and never cleared the sale but somehow printed something which took them out of the inventory system.  But we still have the glasses so apparently they were never sold.  Any ideas would be very helpful.  It scares me that if this is some sort of backdoor to the inventory system that an employee could take out any pair of $200 glasses and use this trick to remove them from inventory and I would never notice.

*EDIT* Also, no employee but myself has the ability to adjust inventory levels via Product Control or Adjust Inventory.

Yup, that seems to have worked.  And yes, I am working the system to be most effective and efficient for me.  It's it a great system, it's just very complex to learn EVERYTHING, which I am wanting to.

But I am spreading the word about your POS system.  Already helped sell 1 in NY and I highly recommend it to another business owner in NY that says she will be getting one from you asap.  I told her best thing about it is the free tech support.  Thanks a million.

Like the title says, My product cost stays at zero on reports no matter the amount I put in.  Now, there are some items that I have by the thousands and I do not want to track inventory levels on them so I have them listed as a "service" so I thought perhaps since it is listed as a service it is not tracking cost.  BUT, I went back and for instance I have:

"1 pair of sunglasses" with a cost of $2.83 each and listed as a service and the total cost shows up on sales reports and gives me profit margins, etc.

with "microfiber cleaning bags" I have a cost of $0.56 each and listed as a service (everything is the same as above) however on the sales reports the cost field shows 0.00.

Any ideas why some items cost are showing up at zero even though I have the appropriate amount in the field?  Thanks for any help. =)

Hello,

I am considering buying a 2nd retail POS for my 2nd store since I love this one so much!  Our 2nd store has the same product so the thousands of SKUS I have had to enter would be used at that location as well.  Is it possible to transfer the entire product list with all SKUs and prices without transferring my 1st stores actual STOCK quantities?
