ezPower / Can't seem to find Security Setting for "Add New Product"?
« on: September 17, 2013, 09:15:47 PM »
As the title suggests, I would like a low level manager to have access to "Add New Product" from the Function Buttons.  Right now mine is too strict and I have it so only I can do that (Admin level).  I however do not want them granted any other access by lowering my Security Level.  Can you tell me what Security Setting exactly I should be looking for and also if changing it will allow them to do anything else, like have access to "Product Control."

Basically (in case you know of a better option) I am looking for a way that my manager can receive an incoming shipment and if a product is new (not in the Product Control Database) she can add it the Product Control fully (ie.: UPC code, description, price, qty, etc.) but not have access to Product Control.  Thanks

**ALSO**

I just realized this is a 2 part question.  Since I have hidden the Menu Bar to hide "Print Receipt", then the only way my manager can check in inventory is through the "Managers Window" and "adjust stock" I believe.  Now I have not given her access to doing this quite yet because although I trust her, I am fine for now doing it myself.  I have some products that are $300 each.  My fear is someone can simply scan a $300 item and remove it from inventory correct? (via Adjust Stock)  Is there a way I can check up on if she ever were to remove something from inventory (theft)? If an item is EVER removed using any option there, is it always saved in the Report Center > Inventory > Shortage (report) for viewing?  Is that where I would check up on any possible theft instances?

Thanks again

We can not verify your test.  I just ran a test and sold items and paid by Food Stamps.  The inventory was correct afterwards.
This was similar in a way to my issue.  But it couldn't be duplicated on your end as well.  I then ran that test where I created a "Test Product" and tried printing receipts without finishing a sale and it actually changed my inventory levels.  I then went into the Security Settings, changed a plethora of things and the very next time I tried it everything was as it should be.  There something going on that just can't be explained (the perfect adjustment of settings?) but if you work with it it can be fixed.  This was the only big issue I ran into.  I adjusted my security settings and it worked for me.  I no longer can duplicate my inventory levels changing without finishing a sale.  I would say to Lee that I can truly sympathize with the fact that this does actually happen and messes things up but it is fixable.  I am unclear how exactly but try to do what I did.  Go into your Security Setting and make sure everything is just as you want it.  My settings were not strict enough.  I changed probably 15 settings and then I was never able to duplicate my changing inventory levels again and haven't had an issue since.  It's at least a place to start.  Hope that helps.

Yes, I think you have got a good method figured out.  The Inventory Priority window was intended for those few items that just can never run out of.
Gotcha, I fully get it now and am in the swing of things.  I see too that you only need the Inventory Priority Window (like you said) for the very most important things.  What a great system, I love it more and more everyday.

I have been readjusting all of my items to use the "Inventory Priority Warning" which looks like it will be a big help.  But how can I basically print that list?  I would like to be able to print what I am running low on and need to reorder instead of just seeing it in the "Inventory Priority Warning" box.

Where do I go to have that list generated so I can print it?  Thank you

**EDIT**  I believe I got it figured out.  Manager Control > Products > Check Stock > (check in box) "If Stock Is Below Order Point" > hit Enter.

I see that generates the printable list I am inquiring about.

I mostly use the Purchase Order method of adding stock.  I think that is the easiest to place an order and receive it.  That updates the Avg Cost automatically from the supplier cost.
Hmmm, this might be exactly what I have been looking for.  Can you give a brief tutorial/explanation on exactly what to do, how to use the Purchase Order method when getting in new inventory?  Perhaps when I looked at it before I didn't quite understand it fully.  Thank you

You could set Security to not allow anyone below a certain level to Clear a sale, and just review all open sales at the end of the day.
Problem with this is some days there may only be 1 employee working.  Some days we can have just 1 person, other days have 3 people.  So because of this, I had to allow everyone to be able to clear a sale for times when I am not there.  And we are open in the Summer 7 days a week from 9am til midnight.

I left the Menu bar off for quite a while, too, but eventually wanted those functions too badly.
It goes without saying, but it sure is a shame to have to orient things like this around the possibility of someone taking advantage of it!  I really like the options this system gives us, though.
Agreed!!!  And I miss having the MENU Bar very much.  That's why if there was a Security Setting for "Print Receipt" I could bring it back.  I have never had to use "Print Receipt" on its own.

First, thank you for all the generous tips!
I have our drawer set up to open only for cash transactions.
I have tried this to begin with but in the Summer we do probably 100 credit card transactions in a day, so it became impossible to stuff them all through the slot.  Perhaps if I can figure out something else, like going to a separate plastic bin next to the register to put the slips in, then I could go back to opening the drawer just for cash transactions.

Also, the z-out report gives you the number of times the drawer was open - and it seems to list only instances other than cash transactions.  You could monitor drawer openings.

My POS actually has an issue with this believe it or not.  At the end of the night the Z Report may say "Drawer Opened: 2" letting us know it was only opened 2 times, but we will have like 4 drawer opened slips from throughout that day.  Ronald sent me an update but for some reason I am still having this issue.  I noticed on short days (like 9-6) it will be accurate more of the time.  A lot of time we are open 7 days a week from 9am until midnight.  On those longer days is when we seem to have this issue happen.  So it has been unreliable sadly for us. I demand each employee keeps these slips and staples them at night to our closing report.  If I ever want to I can manually go back and review my security footage to see what happened.  Luckily I normally get a terrific staff, perhaps I am a little paranoid about theft.  But I have had employee theft so many times it makes you question everyone ... sadly.

Glad to help, it was just an idea off the top of my head so I'm glad it worked for you. =)

I can't tell if you've run into this, but in the upper-left corner there's "File", "Products", "Sales", etc.  I often go into Product Control by clicking on "Products".  It seems to offer the same functionality as having a function button for it.  (or is that the menu bar that you've hidden?)
Correct, that is the Menu Bar that I have hidden.  Within that "File" part of the Menu Bar there is "Print Receipt."  That can be a way where an employee could kinda trick the system and potentially steal from the register.  They ring up a sale, tell the customer the amount and then hit "Print Receipt."  A Receipt Prints, they use "Open Drawer" to figure out the change and then go back into Sales Control later and just clear the sale.  It was never rang up so they don't need to void it, just clear it.  So per Ronald's suggestion I removed the Menu Bar.

One thing that would help me as a user is if there was a "Function Button" for "Product Control."  As a user I am using Product Control at least 5 times a day.  The reason why Product Control is so much more handy then "Add New Product" is that great feature you guys put in there called "Duplicate Product."  So if you have a new product with just a new UPC and description, you can keep all the same info already put in for another product, very handy!  Maybe it is not used nearly as much by some people, but the Product Control is awesome to have and loved it when it was up in the Menu Bar.  However I since removed that Menu Bar (per your recommendation) to get rid of the "Print Receipt" button which you said is a way employees can possibly steal.  Or under Security making "Print Receipt" something where you can set Security Levels would eliminate that problem too, thus being able to have users keep the Menu Bar without fear of employee theft.

Just throwing out my 2 cents.  I know not all suggestions may be what is best for the software but I feel as programmers you never know unless you hear feedback from the consumer.  Like the idea I brought up with putting Returns on the Z Out, that would be very beneficial to most users.

Thanks.

(continued)
I am unsure if it is even possible to get a place for them to sign the receipt, I'm just a fellow user like you so I don't know 100%.  What you could possibly try is this.  Since you can create your own message under receipt option I think you could create a footer message that has a couple decimal points before it to act as spacing and then lines and then says "Customer Signature", like this:

.
.
.
X____________________
Customer Signature

Problem is it will print on ALL receipts and waste more paper but it is safer in the long run and depends on how many CC transactions over cash you do.  Just an idea if Ronald doesn't know of a way to turn this feature on.  However it seems like that would be a great possible addition in an update.  Having a check markable box under Printer Options to select "Print Customer Signature line on Credit Card Transactions."  That way if they are using the simple black card reader and you select CREDIT at the final pay screen, it would print that customer signature line if you had the box check marked.

Just curious, wouldn't your credit card transaction slip have a spot for them to sign?  Unless, I just realized you may be using a built in credit card reader, just the simple black swipe reader.  In that case I understand your dilemma.

We are having the same issue here with stolen cards.  1 trick they are doing (to make you aware) is taking a stolen credit card, deactivating the magnetic strip and handing it to you to swipe.  You swipe the card but nothing happens, it doesn't read it at all.  They then tell you they have been having issues with it and ask if you can just manually punch the numbers in since it can't read it.  Never do that, that's the trick.  They will then report it as a stolen card and since you manually punched the card numbers in they can tell the card wasn't present for the transaction.  You'll be out your merchandise and the money too.  If they don't have an ID for a purchase over $40 we tell them sorry.  Also, always try to get them to do DEBIT on larger purchases.  A DEBIT transaction is much safer, only the true user will know their password.

That helps tremendously.  That should make it a lot easier once I get everything set up.  Thanks again.

I had the similar issue, hence why I went with a real keyboard.  Much easier too to have it there, I highly recommend having an actual keyboard and mouse to use in conjunction with the touchscreen.

2 cent advice - avoid that large of a discount or just pay the commission.  That would make for better employee relations.
Very true, thank you for your help.
