So is the Payment button explicitly for the purpose of addressing Layaways/Deposits?  I never could quite figure out what it was for, but I'd only tried it with normal, fully paid transactions.

No, there have been no crashes or error messages. But I'm not too concerned about it at this point, since "open in another computer" only shows up when we try to Edit a transaction.  I'll certainly let you know if it happens when I try to use the Payment button.

I originally had this under a previous, existing subject, but thought it different enough to start a new thread.

To finish a Layaway/Deposit, we have always used Edit to take the final payment.  When we go back to these transactions for final payment, the Finish button is grayed out, and the only way I've ever figured out how to accept payment is by using Edit.  If the intention is to have the cashier go into the Customer, Advanced Payment window to do it, that really adds more complexity for the cashier than I'd like.

Over the last few months, though, pretty much every time we try such an Edit, we get the message "open in another computer".   We never have it open in another computer but almost always get that message.  I've been meaning to ask about it, but now it's happening virtually every time we try an Edit.

Our procedure was to use Find Sale, then search for the Customer name, then open the transaction.  It had been fairly rare that we'd get the "open in another computer" message.  When that didn't work, we'd use Find Sale, and enter the Receipt #.  Surprisingly, that often worked (i.e., no error message) when the first method did not.

Over the summer, we were getting "the message" something like 50-75% of the time, and now just about every time - and neither previous method is working now.  We always get the "open in another computer" message.  I've had to go into the Manager section, then Sales, to Edit or Void anything, but I hate to have to be directly involved every time this happens, and I also hate the idea of allowing anyone else in that area (yes, even I deleted ALL sales one time!).  And, invariably, it's when the customer is standing there waiting.

If we just added a new transaction, wouldn't we pretty much have to delete the original - and do it before we accept payment to know what the balance really is? (there's usually been a Deposit made.)

I need to ask, then, how best to handle a Layaway.  We've always had to Edit a Layaway to be able to add the remaining payment. 

Is there some other way that I've totally missed?

If it's something you could do (for your programming charge, of course), I'd sure go for it.

Fortunately, we do get a number of repeat customers, and you might be astounded at how some employees think they might find existing names.  So I just keep finding more and more duplicates, and, of course, can't delete them without deleting their sales history.  And we really promote the concept of recalling what they've bought in the past.

I have to say, though, that I'm still amazed at how few changes I feel I need to ask for, considering what you charge for this software, Ronald.  I just transferred my financials to Xero, so had occasion to look into the available "add-ons" to see what might communicate with it - including POS systems.  WOW!  You really offer a heck of a deal!

Well, the available reports always seem to lack on particular aspect that I need, so I do a broad search to include anything that might be necessary, then use the "Export List" function.  It generates a .txt file that can be easily opened in Excel, then I edit it to what I want (just got done doing one, in fact).  It doesn't take as long as it might seem.

I haven't been able to find a way to do this, so I'm hoping that either I'm missing something or that maybe it could be done in the future.

It's inevitable that someone will create a second entry for a customer (i.e., resulting in both a "Dave" and "David").  From then on it's anybody's guess as to which name new sales will go under.  And deleting one of them will, of course, delete their sales history as well.

In past experience, I've been able to do a Customer Merge, so that all transactions are retained.  Is this possible?

Wow, what a brutal business to be in!  With my stuff, people would have to back up a truck to take that many dollars worth!

So, I tried a return in v14.  It seems that the question lies in what happens once you get the credit for the return showing up in the sales window.

I can start a new transaction, and the return remains available to finish later.

If I Clear Sale, the return is cleared. No more sign of it.  I have to say that I've done that myself, just thinking that I didn't do part of it right (or didn't pick the right reason).  Somehow it just seems like you should be able to.  What happens from there, though, is that:
     - when going in to return the item again, if you use the same invoice #, everything looks the same as first time around, EXCEPT that a "1" will show up in the Returned column, essentially telling you that you can't do it again.
    - if you look in Customer info in the Advance Payment window, no credit will show up (probably because you didn't get to choose between a store credit and a refund)
    - in looking at the daily Returns report, no return shows up

What I've done as a workaround (though I'm not sure it would work for you), is to do another return and skip the invoice # (i.e., use "no receipt"), then I can choose the appropriate item and finish it up that with, with correct customer name and everything.

It probably would be more appropriate to have the Return "finalized" AFTER choosing store credit or refund, but I'll bet Ronald has a reason to not have done it that way.

I hope that addresses what you're trying to address.

If an employee is wanting to rip off a pair of sunglasses, I'm not sure that knowing it's returned to inventory would slow him down.  How often do you have inventory counts? 

Actually, a guy using "does not want, do not return" could be seen as a red flag that someone's intentionally ripping you off - it could be used as a tool to help detect attempted theft.

Hey, maybe you should start thinking of hiring people that have no interest in wearing sunglasses - maybe add that question to your interview process!

Hey, that works great!  Any kind of split payment, whether it's split entirely at the time of transaction or split between a deposit and final payment, everything is spelled out clearly.

Oh, I hadn't thought about that aspect.  That makes sense.

Even if you had a separate header for Pay Method alone, you'd still have the issue of how to handle split payments, wouldn't you?  Well, I did just recently learn how to use the "Text to Columns" and  "Concatenate" features in Excel, so I guess I could do that if it becomes important enough.

Hi Ronald,

The Sales Detail Report has been great in generating a report for the day to accompany the export to QB.  There's just one thing I was wondering.

When you select the fields you want to show up in the report, the "Payment" choice is the closest one I can find to Payment Method.  And when the report is generated, that column is titled, "Pay Method".  However, the values that appear are BOTH the "Pay Method" AND the "Total Payment". 

I already have a column chosen for Total Payment, so is there a way to have only the Pay Method itself appear in the Pay Method column?  I was trying to get this into csv format for import to somewhere, and having both values in the column kind of gums things up.

Hi Ronald,

I think I figured out something that'll work.

It seems that if I use "Terms" as a Pay Method, it DOES end up being exported in the iif files with "Terms" in the PAYMETH column.  In EZP, it seems that "Terms" does pretty much everything else that "Layaway/Deposit" accomplishes, so I think we'll just switch from one to the other.  As long as something other than Cash, Check or Credit Card shows up, I'll know to do something different with it.

It looks like the iif export is set up so that only a single Pay Method can be exported,  so not only Layaway/Deposit ends up being off, but also things like Split Payments (luckily those are much more rare for us).

So, unless you have some revelation about how to modify the iif export, I think it'll work fine.  it sure is a great feature, though, it's saving me all sorts of time!
